Our Safeguarding & Data Protection Policy

Tutors hold an enhanced DBS disclosure (formerly known as a ‘CRB Check’).

Any data that we hold about you is password-protected and will be destroyed upon request.

To ensure online safety during online sessions, we will:

  • Use Secure Meeting Links: These generate unique meeting links and passwords for each session to prevent unauthorised access.
  • Enable Waiting Room: We use the Zoom waiting room feature to screen participants before allowing them into the session.
  • Lock Meetings: Once all participants have joined, we will lock the meeting to prevent others from entering.
  • Disable Screen Sharing: This restricts screen sharing to the host, and prevents inappropriate content from being shared.
  • Use Virtual Backgrounds: This encourage students to use virtual backgrounds to protect their privacy and prevent distractions.
  • Avoid Personal Information Sharing: Remind students not to share personal information during sessions.
  • Record Sessions with Consent: If sessions need to be recorded, we will obtain consent from parents and students and store recordings securely, then delete within a specific timescale or upon request, whichever is sooner.
  • Use Headphones: The tutor will wear headphones to ensure conversations remain private. Students can wear headphones if they wish.
  • Update Zoom Regularly: Keep the Zoom application updated to the latest version to benefit from security patches and new features.
  • Review Security Settings: Regularly check and update Zoom security settings to ensure they meet current best practices.

Finally, for younger students, we may request that a parent or guardian is present during sessions. Although parents are always welcome to attend or monitor sessions, should they wish.

It should also be ensured that the physical environment is safe and free from interruptions or distractions.
